How to Organize Activities for 800 People

Organizing an activity for 800 people sounds crazy, right?
Organizing an activity for 800 people sounds crazy, right?
It might be. But it's also an incredible opportunity to show what happens when you combine planning, coordination, and a team that's passionate about what they do.
Today we're sharing the story of an activity we organized for a business school in Barcelona that wanted a participatory experience to welcome hundreds of new students.
The goal was clear: break the ice, foster connection, and create a sense of community from day one.
And yes, we pulled it off. But it wasn't by chance. 😉
⚙️ The key: structure, rhythm, and energy
When you're working with large groups, the key is designing a solid structure without losing freshness or fun.
Every activity, every pause, and every instruction matters.
We made sure that everyone could participate actively, feel part of the group, and experience something shared together.
The secret is maintaining a steady rhythm and high energy from the very first minute.
🧩 Dynamics for connection
For this event, we adapted one of our flagship activities, Added Value, and took it to the next level.
We divided participants into 135 teams: each team simulated being a different company with its own assigned market. Participants took on roles, built, negotiated, and made decisions in a collaborative environment.
The goal wasn't to compete, but to create value, and do it with LEGO® bricks.
Seeing hundreds of people coordinating, laughing, and thinking together is, literally, one of the best parts of our job.
🧠 What's behind every great event
None of this happens by accident.
Behind every great event there's meticulous planning:
- Well-distributed spaces to ensure smooth flow.
- Materials prepared and reviewed in advance.
- A team of facilitators aligned and connected.
And above all, lots of communication.
Because when everyone knows what they need to do, the experience flows.
✅ Results you can feel
The result isn't measured just in numbers, but in feelings:
- Real connections between participants.
- Full engagement from minute one.
- A positive, participatory atmosphere with plenty of energy.
That's what we always aim for: people leaving with a smile and the feeling of having been part of something big.
